Privacy Policy & Student Data Protection
Effective date: Academic Session 2024–2026
1. Confidentiality of Student Records
St. Alphonsa's School treats student academic performance, attendance logs, personal identification records, and guardian communications as confidential. Access is restricted strictly to authorized faculty members, authenticated guardians, and designated administrative personnel.
2. Information We Collect
When registering or submitting an admission application, we collect legal names, dates of birth, contact details, previous academic transcripts, identification documents, and verified parent/guardian information.
3. Storage & Document Security
Private documents (such as birth certificates and academic transcripts) are saved outside public directories and are served solely over encrypted tokenized endpoints that verify the user's relationship to the student or staff permissions.
4. Automated Notifications & Email Privacy
Email notifications regarding attendance absences, admission reviews, and published results are delivered via configured SMTP servers. Sensitive examination marks or private medical documents are never embedded in email text; recipients must sign in to the secure portal.
5. Data Retention & Rights
Academic records are retained in compliance with state educational archival regulations. Users may request correction of inaccurate records through the administrative office.
